Position Description
Part Time Customer Support Specialist
- GENERAL DUTIES AND RESPONSIBILITIES:
This position has primary responsibility related to customer service activities for both LSPOA and RWWD plus this position provides cross functional back up to the Administrative Support Specialist.
- Reports to and works under the general direction of the Lake Manager
- Performs a variety of routine and non-routine tasks for LSPOA related to customer service functions and answering member questions and concerns.
- Responsible to greet members and visitors as an ambassador for LSPOA
- Performs a variety of general office administrative duties to ensure the efficient operation of both the Association and District
- Performs other duties as assigned
- SPECIFIC DUTIES AND RESPONSIBILITY:
- Assists in the collection of annual membership payments
- Assists in maintaining membership records, including but not limited to boat permits, golf cart permits and slip rentals
- Assists in preparing monthly reports
- Prepares all documentation required for lots purchased and tax sales
- Maintain all lien records
- Prepares and releases liens as necessary
- Reviews property transfers as necessary
- Maintains LSPOA website and updates electronic fixed message boards
- Maintains database records for rules violation. Corresponds with members in writing related to violations and fines
- Informs security of empty homes that require winter checks
- Performs other duties as assigned
- Attends meetings as required
- DUTIES NOT DIRECTLY RELATED TO LSPOA:
Lake Santee Property Owners Association, through a management agreement is contracted as the supplier of personnel for Lake Santee Regional Waste and Water District. Customer Support Specialist performs tasks outlined below for RWWD:
- Performs a variety of tasks for Lake Santee RWWD related to accounts receivable and billing functions
- Responsible to upload accounts on handheld meter reading system
- Prints and reviews reports for accuracy. Contacts customers upon indication of leaks
- Maintains billing ACH files
- Handles all the monthly billing activity to customers including but not limited to making adjustments, posting payments, issuing cash receipts, preparing bank deposits, updating billing data base, address changes, new accounts, past due notices, disconnect letters, turn off notices and rental status
- Maintain lien records for Lake Santee RWWD
- Maintains meter and transmitter logs, value records and pump call data base
- Reviews foreclosure and Sheriff Sale documentation and works with attorney, banks and title companies to resolve past due customer accounts
- Prepares RWWD annual hours spreadsheets
- Verifies RWWD user customer and POA membership records bi-annually
- Receives and forwards customer complaints and requests for service
- Assists RWWD to publish required public notices as specified by IDEM regarding lake water quality and operational notices for the waste and water plants
- Attends meetings as required
- Other duties as assigned
- KNOWLEDGE, SKILLS AND ABILITIES
- Thorough knowledge of community problems and potential solutions
- Thorough knowledge of computer programs and systems, including but not limited to word processing, spreadsheets, databases, networks and e-mails.
- Proficient with all standard office equipment
- Ability to communicate effectively orally and in writing with the officers and the public
- Ability to organize and use time effectively and handle several significant responsibilities simultaneously
- EDUCATION AND EXPERIENCE
At least a high school diploma and at least two years experience in a general office environment is preferred for this position. The ideal candidate would also possess at least one year of prior of advanced training in a customer service field.

The job of Customer Support Specialist is performed in a standard office environment with no unusual physical demands.
